Everything you need to run the Coral West IR schedule
This guide walks through the scheduler web app screen by screen — signing in, claiming and releasing shifts, finding your paystub, and (if you're an admin) running the roster and month-end. Jump to your role below, or read top to bottom.
Who can do what
Every account is one row on the practice’s roster, tagged with a role. Find your column below — everything in this guide is organized the same way.

Public means nobody signed in. A visitor with the link sees who is covering each day and nothing else — no open shifts, no time off, no notes, no pay.
CFO is not a step above Admin. It is Admin plus a provider identity, so a CFO both runs the schedule and works shifts. A plain Admin account with no matching provider profile cannot claim a shift at all — claiming assigns the shift to you, and there is nobody to assign it to.
Employee and Partner differ in exactly one place: the money. Both claim, release and edit shifts identically; only a Partner reaches the Financials tab and other people’s paystubs.
Scheduler is a tag layered on top of whatever role an account already has, not a role of its own. It adds one privilege — assigning in bulk — and takes none away. See The Scheduler tag.
Every one of these is enforced by the server, not by hiding a button. A role that cannot do something is refused even if it asks directly.
Signing in
Anyone with the web app link can view the public calendar. Signing in unlocks your own role's tools.
Set your password 2 minutes
- Open the web app link and find the sign-in box in the top bar.
- Enter the email address your practice has on file for you and choose Forgot password?.
- Check your inbox for the link — it arrives within a minute or two, works once, and expires after 14 days.
- Open it and choose a password: at least 12 characters, anything you like — no symbols or capitals required. A long phrase you can remember beats a short jumble.
- You're now signed in for 30 days, and every visit pushes that out again.
Use the same Forgot password? button whether you are setting a password for the first time or replacing one you forgot — it is the same link for setting one and resetting one. There's a 30-second wait between requests. See the FAQ if it never shows up.
Signing in after that seconds
- Enter your email address and password in the top bar and choose Sign in.
- Use Sign out in the top bar any time to end your session early.
- To change your password later, open My Profile — you'll need your current one.
Ten wrong passwords lock the account for 15 minutes. If you're not sure of your password, use Forgot password? instead of guessing.
The calendar
A month-at-a-glance grid is the home screen for every role — what's visible just scales with what you're allowed to see.
Browsing & filtering
Step month-to-month with the arrows, and narrow the grid with the filter bar: Onsite, Call, Holidays, Open, or My Schedule.
Shift details
Click any day to open its side panel — hours, notes, and whichever buttons (Claim, Release, Assign, Save) actually apply to you for that shift.
Selecting multiple days
Shift-click or Ctrl-click on desktop, or press-and-hold then drag on a phone/tablet, to select several days at once for a bulk action.
Your stats at a glance
The row above the calendar tallies the month you're viewing: Onsite days, Calls, Callback hrs, and Extra hrs. If you're a Provider, a Projected earnings figure sits alongside them — it totals the pay from every shift already claimed or assigned to you that month, updating instantly as you claim, release, or edit shifts. It's a running projection, not a final paycheck figure — it reflects whatever's on the schedule right now.
If you're signed out (or a Public visitor), open/unclaimed shifts are hidden entirely — you'll only ever see who's already assigned.
Who's on call
One page that answers one question, for anyone who has the link.
The public on-call page
Add /call to the scheduler's address and the page names the provider covering right now — their shift type and hours — and underneath, whoever takes over next. That is all it shows: no open shifts, no pay, no notes, no email addresses.
It needs no account and no sign-in, which is the point. It is meant to be handed out — bookmarked on a phone, taped up by a workstation, given to whoever is trying to reach the radiologist on duty — including to people who should never see the rest of the app.
The page is never cached, so a reload always reflects the schedule as it stands right now. If it says nobody is covering, that is the real answer rather than a page that failed to load.
Get the link
- Sign in and open the Call view.
- Under Coverage now, press Copy public link.
- Paste it wherever it needs to live.
Copy it from here rather than from your browser's address bar. The app knows its own proper address; a link built from whatever host you happened to load the page from can quietly point somewhere that stops working later.
Claiming & releasing shifts
This is the core of the app: pick up an open shift, or let go of one you can no longer cover.
Claim an open shift
- Click the day on the calendar.
- In the side panel, hit Claim.
Your pay for that shift is calculated automatically the instant you claim it, and it's mirrored to the shared coverage calendar right away.
Release a shift
- Click the shift itself on the calendar — the coloured bar with your name on it, not the day around it.
- Pick Release from the small menu that opens, directly under Reassign.
- Confirm, and the shift goes straight back to the open pool.
The side panel below the calendar still has a Release button too, if you are already down there editing hours. Either way you are asked to confirm first: releasing clears that shift's extra hours, callback hours and notes, and there is no undo.
You can only release your own shifts — clicking someone else's opens nothing. An admin can release any shift, on anyone's behalf.
Edit hours & notes
On your own shift, update Extra Onsite Hours, Callback Hours, or add a note, then Save. Your pay recalculates immediately.
Log your cases
Under Cases on your own shift, type part of a procedure name to search the list and pick it. Picking the same one again adds one to its count, or set the count directly. Some entries ask for details (an angiogram, an embolization, anything under “Other”) — describe what was done. Then Save cases. The pill on the calendar shows how many cases a shift has, so a day with no badge is a day nobody has logged yet. Cases lock with the month at month-end, like hours.
Can't edit a shift at all? The month may already be closed (frozen after month-end). Ask an admin to reopen it — see Admin-only financials.
Claiming multiple shifts
Claiming "every Tuesday this quarter" one click at a time gets old fast — the bulk panel does it in one pass.
Claim multiple shifts
- Open the Multiple Shifts panel (or multi-select days directly on the calendar).
- Set a date range, or list specific dates.
- Review the preview: how many shifts, and the total dollar amount before anything is confirmed.
- Confirm to claim all of them at once.
The preview step exists on purpose — a mistyped date range can't accidentally claim (and get you paid for) more than you meant to.
Time off
Log the dates you can't work before the schedule gets built around you — vacation, CME, sick time, anything.
Mark days off
- On the Schedule calendar, select the days — press and hold, then drag, or tap each one.
- Click Mark unavailable in the bar that appears.
Days that aren't next to each other are fine: a drag over a week plus one stray day is saved as two entries, not nine, and never marks the gap between them.
Once logged, you can't claim a shift inside those days. If an admin assigns you one anyway, they'll see a heads-up flag — it won't be silently blocked on their end. Shifts you had already claimed are kept, not released; you'll be told which ones.
Take it back
- Select any day that's already marked off.
- Click Remove time off.
Time off is stored as ranges, so removing works in ranges too: picking one day out of a week off clears the whole week. The confirmation says exactly which dates are going and how many days that is before anything happens. Removing time off never restores or changes a shift.
My Profile
Keep your own billing details current without waiting on an admin.
Update your details
From My Profile, edit your address, last 4 of your SSN, LLC name (if billing through one), and your calendar color — then save.
You can only ever see and edit your own row — this is enforced on the server, not just hidden in the screen. First-time admins get a profile row created automatically the moment they save.
My Paystubs
Every month-end paystub you've ever been issued, searchable on demand.
Find and download a past paystub
- Open My Paystubs.
- Set a month range and search.
- Download the PDF you need.
These are permanent, unaffected by any later rate change — the exact PDF you were originally emailed. You'll always see only your own; nobody else's paystubs are ever reachable from here.
The Call view
Who's covering right now, and how to get the schedule into the calendar app you already check every day.
Coverage now
The top of the view answers the question people actually open the app for: who is on, which shift, and who takes over next. You don't have to read it off the calendar grid and work out the handover yourself. It reloads each time you open the view.
Copy public link here is how you hand that same answer to someone who has no account — see Who's on call.
Subscribe to a calendar
Below that is a sync box, and which one you get depends on your account:
- Sync my Shifts — if you claim shifts, you get your own feed: the shifts with your name on them and nothing else.
- Sync Calendar — if you don't claim shifts, you get the practice-wide coverage feed instead.
Either way the three buttons are the same: Apple Calendar, Google Calendar, or Copy calendar link for a plain ICS URL anything else can read.
These are subscriptions, not one-time imports — claim or release a shift and your calendar picks the change up on its own, whenever it next refreshes. The coverage feed carries only what the public view already shows: shift type, who's on, hours.
Financials tab
Partners get a view/generate-only version of this tab; Admins and CFOs get everything on it, including the admin-only tools further down this guide.
Hospital invoice
Generate the Coral West coverage invoice for any month, aggregated across every provider — even a month that hasn't closed yet.
Pay Summary
Pick a month and Show month to see what each provider worked and earned, on screen. Year PDF and Year CSV roll the same figures up for that month's year — everyone, or the one provider you choose.
Paystubs
One provider pick, two actions. Search archive finds the permanently archived month-end paystubs over the months you choose (leave the provider as "All providers" to see everyone's) and re-downloads the exact PDF that was emailed. Generate for current month pulls a preview for the still-open month; it is never archived, so regenerate it as often as you like.
Procedures
A month range and an optional provider. Show cases lists how many procedures each provider logged, with a breakdown by procedure, on screen. Download PDF or CSV gives every logged procedure with its CPT code for reconciling against the hospital's billing. The CFO also receives the month's report by email when the month closes.
Coverage
The day-to-day toolkit for keeping the schedule staffed.
Unfilled Shifts
Every required shift still open in the next 30 days, in one list, with an inline assign control per row — no scanning the calendar by eye.
Onsite Days
Add or remove an Onsite shift on any date outside the usual Monday/Wednesday/Friday pattern, or move an existing one to a different date — carrying over whoever's assigned.
Give Admin Hours
Grant a provider paid administrative hours (with a required note) for compensable work that isn't a coverage shift — schedule review, committee time.
Procedure Catalog
The pick list providers log cases from, with CPT codes. Collapsed by default — open it to add an entry, rename one, or take one out of circulation. An entry that has never been logged against can be deleted; one with history is retired instead, so past shifts and reports keep their line.
Assigning shifts
Only admins can put a shift on someone else's name — whether it's open or already claimed by another provider.
Assign or reassign a shift
- Click the shift on the calendar and choose Reassign… — or Assign…, if it is still open — from the menu that opens. That menu also carries Release, and on an Onsite day, Move to… and Delete onsite day.
- Or click the day and pick a provider from the Assign dropdown in the side panel. Same result, one level down.
- For several shifts at once, multi-select days on the calendar and use the bulk assign bar instead.
If the provider you're assigning has marked themselves unavailable that date, you'll see a flag — it won't block the assignment, just warn you before you confirm.
Managing the roster
Onboard, promote, and retire accounts from inside the app.
Add an employee
From Add Employee, enter a name and email. A welcome email with sign-in instructions goes out automatically; they fill in their own billing details later from My Profile.
Change a user's role
From Change User Role, set a work role (None / Employee / Partner / CFO / Viewer), Admin access, and Scheduler access via three dropdowns, then confirm.
You can't change your own role this way — it's blocked so an admin can never accidentally lock themselves out.
Deactivate / reactivate
The same panel has a toggle to deactivate an account — it drops them out of sign-in and provider dropdowns without deleting their pay history.
Admin-only financials
Financials-tab tools that mutate data, so they're kept off the Partner view.
Rate Card
What each service pays, per pay class — pick the class from the dropdown, then set the amount for each kind of shift. A change takes effect from the date you give it, never before.
Rates cannot be changed into a closed month. If the date you need falls in a month that has been closed, reopen that month first (see Reopen a closed month).
Hospital Rates
What the hospital is billed for every shift, whoever covers it — a separate card from what the practice pays anyone. Changing a rate here moves the invoice; it does not change a single person's pay, because pay and billing are priced from two different cards.
The same two rules as the Rate Card apply: a change takes effect from the date you give it, and rates cannot be changed into a closed month — reopen it first.
Paystub Adjustments
One row per provider with a Distribution (a pending bonus or adjustment to add) and a Withholding (an amount to hold back), each with its own note and Save. Both are folded into that provider's next month-end paystub, then clear — never a preview, never paid twice. A withholding larger than the month's pay only takes it down to $0.00; the remainder is not carried forward.
Month-End
The button. At the top is one button, for the oldest month still waiting to be closed. Month-end never runs on its own — this button is the only way it starts. It freezes the month, emails every provider their paystub, and sends the payroll summary and hospital invoice to the admins. A pop-up asks you to confirm before anything is sent.
Choosing steps. The pop-up is a checklist of the run's four steps: close the month to edits, email the paystubs, email the payroll summary and hospital invoice, email the case summary to the CFO. A step that is already done is checked and greyed out. The rest start checked; uncheck one to leave it for later, and the month stays Pending until you come back for it. Steps run in order, so you can stop early but not skip ahead — the summary reports what the paystubs actually paid, so it cannot go first. Closing the month to edits always happens. Press Confirm to run the checked steps, or Cancel to send nothing.
A step already recorded for that month is skipped, so nobody is paid or emailed twice. If more than one month is open it closes the oldest first, so run it again for the next one; that order matters, because a pending distribution or withholding is spent by the first close that folds it into a paystub. A run that stops part-way is never retried automatically — press the button again and it picks up the steps that are left.
The list. Under the button is the last twelve months, each with one status. Not yet due: the month has not ended, nothing to do. Completed: closed, paystubs sent, summary and invoice sent. Pending: the month is over and is waiting on you; the line underneath says what is outstanding — paystubs not sent, summary and invoice not sent, and whether the last run failed or stopped part-way.
The list has no run buttons of its own; a pending month is closed with the button at the top. A closed month has Reopen.
Reopen a closed month
Unfreezes an already-closed month so mistakes can still be fixed. This also resets that month's "already sent" markers, so the next month-end run resends corrected paystubs and the invoice instead of skipping it.
